How to set up and manage budgets for your organization members.
Organization Budgets
Budgets let you control how much your organization spends on mental performance services.
Budget Structure
Budgets are organized in a tree structure — you can create a hierarchy that matches your organization:
Company Budget ($50,000/year)
├── Athletes ($30,000)
│ ├── Varsity ($20,000)
│ └── JV ($10,000)
└── Coaches ($20,000)
Each budget node has:
- Name — Label for the department, team, or group
- Amount — Total budget for that node
- Period — Monthly, annual, or one-time
Setting Up Budgets
- Go to Budgets from the sidebar (or Settings > Budgets)
- Create your top-level budget
- Add child budgets to create your hierarchy
- Set amounts and periods for each level
Assigning Members to Budgets
- Open a budget node
- Click Assign Members
- Select members from your organization
- Optionally set a per-member cap (limits how much one person can spend from this budget)
How Budget Enforcement Works
When a member books a session using the organization budget:
- The system checks their assigned budget node
- It verifies there's enough remaining balance at every level of the hierarchy
- If approved, the session cost is deducted from the budget
- The member sees the session as "Organization Funded" in their bookings
If a member exceeds their budget, the booking is blocked and they're shown the remaining balance.
Monitoring Spending
The Organization Dashboard shows:
- Total spend across all members
- Budget utilization percentage
- Spending breakdown by provider type
- Per-member spending in a sortable table
